The Pretoria Hotel: digital transformation and Workspace success

The challenge

Before the move to Google Workspace, rigid, server-bound systems made remote work impossible and collaboration a constant ‘headache.’ The hotel was shackled by manual paperwork and spiralling storage costs from traditional hosts. Without a shared document ecosystem, data was siloed, creating duplicate files and friction that stifled efficient management.

The solution

The hotel embraced Google Workspace for a total digital transformation. By deploying Google Drives, they replaced physical servers with a centralised cloud library. Google Docs and Sheets ignited real-time collaboration, while Gmail streamlined staff transitions and unlocked the mobile agility required for 24/7 hotel management.

The result

Since the 2024 transition, the hotel has eliminated expensive monthly storage overages, delivering significant cost savings. Operations are 100% streamlined, and the finance team is fully digital, using invoice-based filing to scrap physical paperwork. Management now enjoys total remote flexibility supported by a stable, scalable foundation.

Partner role

Rand Data Systems orchestrated the digital transition in 2024, migrating legacy data and mailboxes to a cloud-native environment. Rand Data Systems decommissioned failing physical hardware and implemented a scalable architecture to support high-growth operations.

Digital transformation is vital to run a business efficiently. Moving to shared documents was a no-brainer; the flexibility to access data remotely is a game-changer. We’ve effectively eliminated paperwork, allowing our operations to excel as we grow. I don’t see how any modern hotel can function without this level of collaboration.
